Guide for finance teams

The Finance Officer role works across every company in your organisation, unless an administrator limits it to one company. Finance doesn't run payroll; HR does. Finance's job starts once a run is approved.

Lock and pay payroll

  1. When the approver approves a run, you get an in-app notice. The run is now Approved.
  2. Open it under Payroll and lock it. The figures are frozen and the run is Locked.
  3. Download the remittance files:
    • Bank payment file (CSV): each employee's bank, account number, account name and net pay, with your primary company bank account as the debit account.
    • PAYE schedule (CSV): each employee's TIN, gross pay components and reliefs.
    • Pension schedule (XLSX): in the PenCom upload layout, with employee and employer contributions.
  4. Pay staff through your bank, then mark the run paid. The run becomes Paid: each employee gets a "payslip ready" email, and that month's loan repayments are recorded as settled.

Reports has Excel reports for the payroll summary, yearly payroll totals, and PAYE, pension, NHF and loan-deduction remittances.

Staff loans

Loans follow the approval chain your organisation has chosen:

Approval chain Steps
Single step Finance approves and disburses
Two steps Credit Officer, then Finance
Three steps Credit Officer, then managing director, then Finance

Nobody can approve their own loan, or act at two stages of the same loan.

When Finance gives the final approval:

  • the loan becomes active;
  • the employee is emailed;
  • the agreement, approval letter and repayment schedule are available as PDFs;
  • monthly repayments come off payroll automatically.

You can also:

  • record a loan that was approved before you started using Praxis;
  • import existing loans from the Excel template.

Salary advances

If your company has salary advances switched on:

  1. Employees request an advance.
  2. You approve or reject it, in one or two steps.
  3. You disburse it.
  4. You record repayments as they come in. The advance is completed when it's fully repaid.

Salary advances are not deducted through payroll.

Expense claims

Reimbursement claims pass through three stages:

  1. HR reviews the claim, which needs a receipt.
  2. The managing director authorises it.
  3. Finance marks it paid.

You're notified when a claim reaches you. Claims are paid outside payroll.
