Getting started with Praxis

Getting started is a sequence: each step uses what the previous one set up. Most organisations work through it in their first few weeks.

1. Your own Praxis instance

Flojex sets up a Praxis deployment and database for your organisation alone. You receive:

  • the web address your staff will use;
  • a first administrator account (a super admin), which can see and change everything.

Sign in with that account to begin.

2. Your companies

If your organisation runs more than one related company, add each one under Companies. For each company you can set:

  • its name, RC number, TIN and PenCom employer code;
  • its logo and brand colour, which appear on payslips and generated documents;
  • which features are switched on, such as clock-in, salary advances and two-step approvals.

A super admin can switch between companies from the sidebar.

3. Your organisation structure

Under Organization, start from an industry template, then rename, add or archive anything that doesn't fit. The templates are:

  • microfinance bank
  • technology company
  • professional services
  • a generic company

The structure covers business units, divisions, departments, teams, job titles, job levels, locations and employment types. Positions shows your grade structure and salary bands.

4. Your employees

On the Employees page:

  1. Download the Excel import template.
  2. Fill in one row per person.
  3. Upload it.

Praxis gives each employee a number automatically.

Check the records that need extra detail, such as bank details, pension PIN and next of kin. Sensitive identifiers (BVN, NIN, TIN, pension PIN and bank account number) are encrypted when they're saved.

You can also add people one at a time, or send new hires an onboarding link so they fill in their own details (see HR managers).

5. Users, roles and sign-in

Each person who signs in has a user account with one or more roles:

Role What it's for
HR Manager Runs HR: records, onboarding, leave, payroll preparation, performance, conduct and exits
Department Manager Sees and approves for their direct reports and the departments they head
Finance Officer Locks and pays payroll, approves loans and pays expense claims
Credit Officer Gives the first approval on staff loans
Employee Self-service only

A super admin can create custom roles, for example a managing director role that approves payroll, loans and expense claims.

Staff sign in in one of two ways:

  • With Microsoft, if your company uses Microsoft 365. A company can make Microsoft sign-in the only option.
  • With an email and password. Passwords must be at least 12 characters, and staff can turn on two-factor sign-in with an authenticator app.

6. Leave

Set up leave in this order:

  1. Under Leave Types, create the types you offer and how many days each employment type gets.
  2. Under Leave Balances, initialise this year's balances for everyone.
  3. Under Holidays, generate the Nigerian public holidays for the year and add any company-specific days.

7. Payroll settings

Before your first run, check the payroll settings:

  • statutory rates for pension, NHF and NSITF;
  • whether your company opts in to NHF;
  • rent and mortgage relief;
  • the PAYE tax bands, which default to the Nigeria Tax Act 2025;
  • your company bank accounts, with one marked as primary for the bank payment file.

8. Your first payroll run

HR runs payroll for the company and month, reviews the results, and submits the run for approval. Your approver (usually the managing director) approves it. Finance then locks it, downloads the bank, PAYE and pension files, and marks it paid.

Finance covers this in detail.
